Ezytime Features
Some of the features available in Ezytime
Dashboard | The Dashboard just provides an overview of your activity, for example, the last time your payslips and leave balances were updated when you logged in last, and any messages to review. Managers can see a Weekly Team Calendar and your Emergency Contact Details. |
Leave Requests | Staff apply for Leave then a Manager or multiple Managers must approve it. Leave types can be restricted by User Level and controls can be put in place to show/hide balances, allow leave in advance to be applied for/paid, certain leave must be used first, etc. There is no limit on the number of items that can be configured under Leave Request. |
Leave Balances | Here you can see all your visible balances as an Employee, the balances for your Team as a Manager, or the balances for the Company as the HR Admin. There is a Forecasting Utility available (normally turned off but can be turned on by request) that will let you forecast what your leave balance 'might' be at a future date. |
Leave Calendar | Here you can review when staff are away or have requested Leave. There is an option to link this Calendar with a Leave Calendar in Outlook that can then be shared with the Company. Leave types are replaced with the word 'Away' to maintain confidentiality. |
Timesheets | Timesheets can be used to add everything that is not Leave, for example, your daily worked hours (these can be entered as total hrs per day or start/finish times, Deductions, and Allowances. Transactions can be based on Hours/Units/Days etc and access can be restricted by Employee/Manager/HR Administrator. Some clients use Timesheets for Salary staff whereby they record their hours but these are not exported to Payroll but can come in very handy when it comes to salary review times. Ability to generate a pre-populated Excel spreadsheet that can then be imported as either a Roster or Timesheet, which then flows through the normal approval process. Ability to create pre-populated Timesheets either by day/week/fortnight and by individual or team. There is no limit on the number of items that can sit under Timesheets. |
Hours Audit | Normally turned off but can show a Manager a grid of all staff hours, both rostered and actual. Useful to see any large variances. |
Pay Advice | Essentially your Payslips. You can review each individual one, print it off or just leave them there. The payslips can be set to show Daily Transactions (if you want to see your hours per day) or Totals. Terminated staff can still login and retrieve their payslips. |
Reports | For Employees, you can run a Certificate of Earnings. Managers can generate Ad-Hoc reports over all the data entered into payslips. |
Company Messaging | Ability to send messages to individual employees, selected teams, or everyone. Messages have controls that they 'must be read' and this can be shown in the Audit Log. This feature was used extensively by clients during Covid lockdowns. |
Onboarding | Utility that allows you to send the Portal details to new staff and/or all employees. |
Teams | Teams drive Ezytime. Teams consist of Employees and Managers. Managers can have the authority to Authorise Timesheets and/or Leave Requests. There is also a Multi-Level Approval structure if needed. Related parties can be notified when key staff Request and/or have Leave Approved. |
Emergency Contacts | The ability for staff to record their Next of Kin and/or Emergency Contact Details. This information is available to their Managers and HR Admin. |
Scheduler | This automatically sends Payroll all the Approved Timesheet and Leave transactions on a specific day and time. |
Security | Employees can elect to turn on 2-Factor Authentication for added security. This requires two forms of identification in order to gain access to their data. |
Job Costing | We can capture time against Job Codes that can then have On-Costs applied in the Payroll |
